Review Form Entries

Find, search, view, edit, and delete stored Smart Form Builder submissions from the WordPress dashboard.

The Entries screen lets administrators review submissions saved by the Save Entry action. Only submissions that were stored in the plugin’s database appear here; disabling entry saving for a form means its successful submissions will not be available in this list.

Open the Entries screen

  1. Sign in to WordPress with an administrator account that can manage the plugin and the relevant form.
  2. Open Smart Forms → Entries.
  3. Wait for the entries table to load. If no submissions are available, the table displays a “No entries found” message.

Find a submission

  • Form filter: use the form dropdown to view entries for one form, or choose All Forms.
  • Search IP or Data: enter a value in the search box and select Search. The search checks stored submission data and extra metadata, which can include visitor details.
  • Table columns: the list shows the entry ID, form ID, a short submission-data summary, IP address, and date.
  • Pagination: the table loads 20 entries per page. Use the previous and next controls to move through the results.
  • Sorting: use the supported ID, Form ID, or Date column controls to change the ordering. The current implementation does not apply IP-address sorting at the database-query layer, even though the IP column is styled as sortable.

View an entry

In the row for the submission, select View. The entry detail view presents the submitted field values and available submission metadata. Depending on the site’s privacy and tracking settings, the stored metadata can include visitor information, campaign attribution such as UTM values, and the visitor journey associated with the submission.

Opening an entry with the Unread status marks it as read in the database. The unread indicator is removed from the row after the detail view opens. This is a status change, not a deletion.

Edit or delete an entry

  • Edit: select Edit in the row actions. Update the editable submission values or supported entry details, then select Save Changes. The plugin sanitizes edited field values using the field type’s sanitization logic.
  • Delete: select Delete and confirm the prompt. Deletion removes the entry from the submissions table; the implementation does not provide a trash or restore workflow for deleted entries.
  • Bulk delete: select the checkboxes for the entries shown on the current page, choose Delete under Bulk actions, and select Apply. Confirm that the selection is correct before proceeding.

Protect submission data

Entries may contain personal or confidential information. Restrict access to trusted administrators, avoid sharing screenshots that expose submitted values, and delete records only when you are sure they are no longer needed. Review Configure Form Privacy Settings for the plugin’s privacy-related options.

To download stored entries, use the Export button on the same screen. See Export Form Entries for the available formats and current export limitations.
