Export captured leads from Dragwyb Click to Chat when your team needs a spreadsheet for follow-up, reporting, or a controlled handoff to another workflow. The AI Leads dashboard provides an Export CSV action that downloads the lead records matching the current status filter and search query, up to 200 records in one export. Although the dashboard requests 1,000, the REST endpoint caps each lead-list request at 200 records.
Before you export
- Make sure captured leads are available in the AI Leads dashboard.
- Decide whether you need all statuses or only a particular group, such as New, Contacted, Qualified, Converted, or Discarded.
- If you want a subset, use the dashboard search field before exporting.
- Confirm that you are authorized to access and download the contact data, and choose a secure destination for the CSV file.
Open the AI Leads dashboard
- Sign in to WordPress with an administrator account.
- Open Click to Chat → AI Assistant.
- Select AI Leads in the AI Assistant navigation.
- Review the lead list and confirm that the records you expect are visible.
The AI Leads screen includes a search field and status filters. Available status filters are All Leads, New, Contacted, Qualified, Converted, and Discarded. The dashboard normally displays 25 records per page. The export action requests 1,000 records from the first page, but the REST endpoint caps that request at 200 records.
Filter the records you want to export
- Select a status filter, or keep All Leads if you want records from every status.
- Use the search field to narrow the list to the contact or requirement you need. The search query matches name, email, phone, company, and requirement.
- Review the results and make sure the selected status and search match your intended export.
- Remember that the export requests at most 1,000 matching records in one operation. If your matching set is larger, the button does not provide a multi-file or automatic multi-page export, so check the exported row count before relying on it as a complete archive.
Download the CSV file
- Click Export CSV above the lead table.
- Wait while the button displays Exporting….
- If matching leads are returned, the browser downloads a file named similar to
leads-export-YYYY-MM-DD.csv. - Check the success notice and open the file in a spreadsheet application that supports CSV, such as Excel or LibreOffice Calc.
If the dashboard reports that no leads are available to export, review the selected status and search term, then try again with All Leads and an empty search. If the export fails, check the administrator session and WordPress/plugin errors before retrying.
Fields included in the dashboard CSV
The visible dashboard export includes these 14 columns, in this order:
- ID — the lead record identifier.
- Name, Email, and Phone — submitted contact details when available.
- Company and Company Size — organization details when captured.
- Budget, Timeline, and Interest — qualification information supplied by the visitor.
- Score — the stored lead qualification score.
- Intent — the lead’s intent-level label.
- Status — the current lead pipeline status.
- Date — the lead’s creation timestamp.
- Requirement — the visitor’s requirement or notes.
The dashboard CSV does not include the full chat transcript, score breakdown, source URL, or session ID. Open a lead’s details in AI Leads when you need to review the available conversation and additional fields; see Review AI Chat Transcripts for transcript guidance.
Screenshot to add: Replace the empty image above with a real screenshot of Click to Chat → AI Assistant → AI Leads. Show the status filters and Export CSV action, and use test data or redact names, email addresses, phone numbers, requirements, and other personal information. This is a placeholder, not a captured screenshot.
Understand the export limit and implementation
The dashboard button creates the CSV in the browser from the lead-list response, using the current status and search values. It requests 1,000 records from page one, but the REST endpoint caps the response at 200; it does not loop through additional pages automatically. If you have more than 1,000 matching leads, do not assume one download contains every record.
The plugin source also registers a separate administrator-only REST export endpoint. That endpoint returns a different 15-column CSV, including Session ID, and queries up to 1,000 leads without the dashboard’s current status and search filters. The visible Export CSV button does not call that separate endpoint, so use the dashboard’s 14-column field list above to understand the file downloaded from the interface.
Protect exported lead data
Lead exports may contain personal contact details and business requirements. The lead-list endpoint used by the dashboard and the separate export endpoint both check the WordPress manage_options capability. This restricts the API to users with administrator-level capability, but it does not protect a CSV after it has been downloaded.
- Store the CSV in an access-controlled location and share it only with staff who need it.
- Avoid attaching unencrypted lead exports to public tickets, public links, or unsecured email threads.
- Delete temporary copies when they are no longer needed, following your retention policy.
- Do not use real lead data in screenshots, demonstrations, or support requests unless it has been properly redacted.
- Follow your site’s privacy notice and applicable data-protection obligations when exporting or transferring personal information.
